3CX Month: How to Use 3CX as a Receptionist

Every business day for the month of November, we will be posting a useful tip for 3CX, a powerful SIP-based unified communications platform.

Receptionists are demanding, mission-critical phone users with specific requirements. 3CX, as a replacement for traditional telephony, has implemented a simple system for receptionists to do their work.

In fact, they’ve designed a Receptionist View of 3CX, so all the functionality is laid out in a clear and simple to use fashion.

How to Use the Receptionist View in 3CX?

If you want to go to the Receptionist View in 3CX, first click on the “Switchboard” button:

There, you’ll see a drop-down menu labelled “View.” Click on the menu, and select “Receptionist.”

In the Receptionist View, you can track the current calls and see the extensions on your system. The extensions have Presence information, so you can know if the extension is busy, away, or free. The calls are labelled by color:

  • Orange. In-coming call
  • Yellow. Answered call

When you get an in-coming call, simply right-click on the call, and you get a list of options: pick up, transfer, hang up. If you select transfer, you can select the extension from the list.

Actually, there’s an even easier way: If you want to transfer an in-coming call, simply drag-and-drop the orange call to the desired extension. That’s it!

If you use the drag-and-drop method, you can set it to either be blind or attended by going to Settings > Advanced Settings > Behavior > Transfers using drag and drop.

  • Blind. Transfer without announcing who’s calling.
  • Attended. Puts caller on hold while you announce to the recipient who’s calling. Press “Transfer” when you’re done announcing.
